ILLUSTRATIVE EXAMPLE · EVENT-TEAM SAAS
An order-management platform for event businesses.
Businesses subscribe to your platform to follow up clients, send quotes and coordinate events. Each has its own account, team and private data. You charge businesses for the platform subscription; they collect payment for their event services through their existing process.

Who uses the product?
The event-business owner maintains the company profile and services, invites the team and manages billing. Members handle leads, quotes and jobs within their permissions. The company's client reviews one quotation through a private link without another account. The SaaS founder manages companies, subscriptions and operations without routine access to their business content.
A complete journey from day one
- The business signs up, subscribes and invites its team.
- Staff records a client inquiry and event details.
- They prepare a quotation and share its private link.
- The client responds. After acceptance, staff checks readiness and confirms the job.
- The team assigns responsibility and follows the job through to completion.
What can you launch?
- Company signup and one straightforward monthly subscription with payment, activation, renewal, cancellation and access recovery.
- Private company workspaces, invitations, member deactivation and defined permissions.
- Lead tracking from new inquiry through contact and quotation to confirmed work or closure.
- Branded quotations with service line items and a private link to accept or request contact.
- Confirmed jobs with date, location, owner and notes, plus email reminders, basic totals and export.
- A founder dashboard for company and subscription status without routine access to their business records.
- One additional connection: show confirmed jobs in a calendar app through a private read-only feed, with compatibility testing.
- An Arabic and English interface, design and an interactive prototype, review and testing, review and live environments, monitoring, backups, recovery instructions and code handover.
What stays simple at launch?
One adaptable quotation template with clear line items and fixed pipeline stages. Staff selects dates and responsibility, checks readiness manually and collects client service payments through its existing process. Company subscription billing is included; collecting and settling event payments for multiple businesses is not. Link acceptance records an intention to proceed; it is not presented as an identity-verified electronic signature or a replacement for the service contract.
Expand when the need is proven
- Automatic equipment inventory and reservations.
- Multi-crew or supplier scheduling and resource-conflict prevention.
- Full accounting integration or collection and settlement of companies' client payments.
Detailed scope and launch acceptance
Detailed scope and operating rules
- Account/team: owners manage membership and billing; members have fixed operational permissions. Invitations expire and can be revoked. Deactivating a member removes access while preserving business history. Workspaces are isolated, and the platform operator sees necessary subscription/support metadata rather than routine quote content.
- Inquiry/quote: staff records client/event details and the next action. Quotes have line items, prices, quantities, notes, validity and a calculated total. Sent versions stay preserved; an edit creates a new version rather than changing what the client saw or accepted.
- Client link: each expiring, revocable link belongs to one company, quotation and version, not the whole workspace. Only the current valid version can be accepted; a replaced link cannot receive a new acceptance. The response and time are recorded without claiming independent identity verification of the link holder.
- Request contact: the client receives confirmation, and one follow-up tied to the quote version appears in the team's queue with a retryable notification. Repeated clicks do not duplicate it. It does not accept the quote or create a confirmed job.
- Confirmed event: after client acceptance and staff readiness confirmation, one job is created with the accepted-version reference, date, location, responsible member and notes. Staff tracks delivery, completion or cancellation. Assignment is manual; automatic equipment/crew availability is not implied.
- Platform subscription: one monthly plan, authoritative provider verification and separate payment/access duration. Renewal, cancellation at period end, failed payment and the agreed grace period change access correctly; duplicate or invalid notifications do not grant unearned access.
- Owner recovery: when operational access is suspended, the owner can still sign in securely to review billing, recover payment and use the agreed export or data-request route. Verified successful payment restores appropriate access. A stopped subscription does not immediately delete company data.
- Reporting/calendar: reminder failures can be retried without losing the underlying action. Totals distinguish quoted and accepted value, not recognised revenue. Export is company-scoped. The private calendar feed shows permitted confirmed dates without prices/private notes, excludes cancelled jobs and can be revoked. It is not two-way synchronization; refresh timing belongs to the receiving calendar, and revocation cannot erase a previously downloaded copy.
How do we check that it is complete?
- A company signs up, pays, invites staff and sends its first quotation, then converts acceptance and readiness confirmation into one job.
- One business cannot read, change or export another's data, and an old invitation cannot restore a deactivated member's access.
- Expired/revoked links reveal no data; a valid link shows only its quotation and version.
- Requesting contact confirms receipt and creates one team follow-up, without accepting the quotation or creating a job.
- An accepted version remains unchanged while a new draft is edited; repeated clicks do not duplicate responses or jobs.
- Renewal, cancellation and failed payment change access under the policy. The owner retains payment recovery and the agreed export route; verified recovery restores access without immediate data deletion.
- Duplicate/invalid payment notifications do not grant subscriptions. Lists and calendar feeds do not expose private notes or another company's records.
- Arabic and English journeys work on agreed mobile and desktop browsers, with test evidence, operating/recovery setup and code handed over without unresolved critical or major approved-scope defects.
What do we agree and review together?
We agree the precise niche, quotation contents, permissions, your product's subscription price, renewal policy and data retention, and validate billing-provider approval and calendar compatibility. Review covers a written scope, one design direction and refinement, two consolidated prototype rounds for signup/quotes/jobs, progress demonstrations and acceptance. Small refinements are assessed within the plan; material changes are discussed before work. Agreed-scope defects, necessary details we omitted and our estimating errors are not paid expansions or feedback rounds. The package includes fixes for agreed-scope defects reported within 14 calendar days of documented production handover, with covered reports followed through to resolution, without limiting statutory rights; ongoing maintenance and development are separate.
An illustrative scope that can be built within the package, not a delivered client project. The price covers the version described, not a fixed template for your idea. Your scope and price, including any Launch Partners offer, are confirmed in writing before you commit. Hosting, platform payment-provider and external service charges are disclosed separately before contracting. Project scope and timing are confirmed after reviewing required inputs and provider approvals.
